What DailyBuild is

DailyBuild is a mobile-first field management app for construction contractors. Crews record the day on a phone, the office gets branded PDFs and reports without chasing anyone.

What does DailyBuild do?

It covers the daily paperwork of a construction job: daily reports, timesheets, tasks and scheduling, punchlists, safety records, receipts, project documents and photos, material and pay item tracking, cost codes and production tracking, owner updates and an AI assistant called Daily AI. Everything is filed under a project.

Who is it for?

General contractors, subcontractors and self-perform crews. Field staff use it on a phone; project managers, admins and owners use the same account on a laptop.

Do I need to install anything?

DailyBuild runs in any browser at app.dailybuild.co. Native DailyBuild apps are also available for iPhone, iPad and Android from the Apple App Store and Google Play.

How do I get started?

Sign up at app.dailybuild.co - no card needed. Your 14-day free trial starts right away, and setup is three quick screens: your company, your first project, then your first daily report.

Getting started and AI setup

First-run setup is two optional steps, both powered by AI, both skippable.

What happens on first sign-in?

Step one asks for your company website. DailyBuild reads the whole home page (including the footer) and fills in the company name, address, phone and email. Step two asks for your first project's documents.

How does the project setup step work?

Drag and drop PDFs or photos of the contract, plans or notice to proceed, or tap to pick files. DailyBuild reads them - using vision on scans and photos that hold no selectable text - and drafts the project number, name, owner, engineer, address and dates. Nothing is created until you review and confirm, and the uploaded documents are filed with the new project.

Can I skip the AI setup?

Yes. Both steps have a 'Skip for now' button. You can enter company details under Profile then Company, and create projects manually from the Projects page.

What is the setup checklist?

A short list on the Dashboard covering company details, inviting the team, creating a project, adding resources and filing the first daily report. It can be reset any time from the bottom of the in-app Help page.

What does the Dashboard show?

The Dashboard is the office command center. Overview gives reporting coverage, field hours, projects needing action and production status, plus a project health table with plain-language reasons, a needs-attention queue, a field pulse chart and recent activity. Reporting, Production and Safety views go deeper on missing reports and approvals, hours and cost-code exceptions, and incidents, inspections and toolbox talks. Production also lists subcontractor activity - hours, workers, trades and last day on site. Engineers land on Production by default, and whichever tab you last used is remembered. Filter by project and by 7, 30 or 90 days; the filters live in the URL so a view can be shared.

What does the Today screen show?

Today is the field home screen: choose a project and date, check the daily report, then use the large Time, Photo and Safety actions. Materials, Add Task, Punch list and Delays are under More actions. Needs attention, Tasks and Upcoming work are on Calendar. Superintendents and Field Mode users land on Today by default, while admins, project managers and engineers land on the Dashboard.

Daily reports

The signed daily record of one day on one project, exported as a branded PDF that files itself.

How do I create a daily report?

Tap the plus button and choose Daily Report, then pick the project and date. The report opens as compact one-line summaries, with weather filled automatically. Open only the section you need, use its Add button for personnel, subcontractors, equipment, delays or incidents, attach photos, sign and press Complete.

Can AI write the daily report?

Yes. The Dashboard has an AI button beside the manual one. Describe the day out loud or type a few lines and Daily AI turns it into a draft report. Review the details before saving.

What is auto-fill on a report?

Crew, equipment and material lines are suggested from that day's timesheets and recent project activity. Every suggested line can be kept, edited or deleted, and a line you delete stays deleted the next time the report is opened.

What is the completeness meter?

A bar at the top of the report showing what is still missing - weather, crew, work performed, photos or a signature - before the report is completed.

Does weather fill in automatically?

Yes. Conditions, high and low, wind and precipitation are pulled from the project location. You can override anything, and the Fahrenheit / Celsius toggle is remembered per report.

Who approves daily reports?

Anyone ticked as an approver on that project's team panel. Until a report is approved it can still be corrected. Reopening a completed report records a revision and a reason, and any edit after completion rebuilds the filed PDF automatically.

Where does the PDF go?

Into that project's Daily Reports folder under Documents, branded with your logo, company details and brand color. Project managers, engineers and superintendents on the project team receive the daily report email by default.

Timesheets

Enter a whole crew's day in one pass, then review the week for payroll.

How do I enter time?

Open Timesheets, pick the project and the day, and fill one table for the whole crew: start time, finish time and break per worker. Hours and overtime are calculated for you, or you can type hours directly.

Is there a faster way for a big crew?

Yes. 'Set for everyone' copies one row's times down the whole crew and 'Copy previous day' rebuilds yesterday's entry in one tap. Clock in and clock out is available for live tracking.

How do I run payroll?

Switch to the Week view for a worker-by-worker, day-by-day summary with weekly totals, and export it. Assign a cost code per row so hours roll into cost and production reports.

Tasks, calendar and scheduling

Assign work, schedule milestones and see the month at a glance.

How do tasks work?

Create a task with a project, priority and due date and assign it to yourself or a teammate. Tasks appear on the calendar on their due date.

What do the calendar colors mean?

Green is daily reports, blue is timesheets, red is tasks, purple is schedule items and orange is punchlist due dates.

Can I schedule things that aren't tasks?

Yes. Choose a date and tap + Add to start a scheduled item, task, daily report, timesheet or material entry for that date. Tapping the selected date again opens the same add sheet.

Punchlist

Log what is left, attach photos, then verify it closed.

How do I add a punch item?

Pick the project, take or choose a photo, then add location or room, trade, description, responsible party, due date, priority and status. Items are numbered automatically per project.

How is a punch item closed?

Completing and verifying are separate permissions. Anyone with punchlist access can complete an item; a supervisor with the verify permission signs it off. Comments and closeout photos live on the item.

Can I export the punchlist?

Yes, as a branded PDF filtered exactly the way the list is filtered on screen. It files itself into the project's Documents folder.

Safety suite

Toolbox talks, inspections, incidents, JHA / pre-task plans, observations and certifications, with a review and approval workflow.

What is in the Safety Hub?

An overview of talks held, inspections passed, open incidents, days since a recordable, expiring certification cards and anything waiting on review.

How do toolbox talks work?

Pick a topic from the library or write your own, record who attended, collect signatures on the device and add photos of the sign-in sheet. Daily AI can also generate a talk for a hazard you name.

How are incidents recorded?

Report injuries, near misses and property damage with people involved, witnesses, injury type and body part, root cause, corrective action and photos. Mark OSHA recordable items and export an OSHA 300 style log.

What is the review workflow?

Field entries are saved as a draft, submitted for review, then approved by someone with the safety approval permission. Only approved records count towards Safety Hub metrics.

Are there safety reminders?

Yes, and they are set per project: expiring certifications, inspections due, toolbox talks overdue, open incidents and records waiting on review. Every list exports to CSV or Excel, and every form exports as a branded PDF.

Documents, photos and receipts

Every project has Daily Reports, Photos, Receipts and Documents folders.

How do I upload files?

Drag files anywhere onto the Documents page - a drop zone covers the whole screen - or drop a whole folder and the structure comes with it. You can also tap to pick files. Switch between thumbnail and detailed list views.

Can I mark up a PDF?

Yes. Open a PDF to add arrows, notes and highlights, then save it back as a new version. PDFs show page one as their thumbnail.

Are photos stored the right way up?

Yes. The camera's rotation flag is applied as the photo uploads, so pictures are filed upright. The viewer has a rotate button, and a rotation you save is used everywhere - thumbnails, lists and the daily report, safety and punchlist PDFs.

What about field notes?

Field notes have their own category: upload a scan or photo of the notebook page and tag it. Photos and field notes can be selected and exported together as one ZIP for the owner or a claim file.

How do expenses and mileage work?

One Expenses list holds both. Snap a receipt from the plus button and add vendor, date, amount and project, plus an optional cost code, material or equipment. Log mileage the same way: pick the project and the miles, and the dollar value fills in from your company rate per mile. Mark anything paid out of pocket, and a manager marks it reimbursed once the person is paid back. Filter by project, dates or unpaid only and export the list to PDF, Excel or CSV. Amounts are only visible to people whose permissions include viewing costs.

Can I keep documents in Google Drive or SharePoint instead?

Yes. Connect your Google Drive or Microsoft SharePoint account under Profile then Storage, then link a folder to a project from that project's documents page. Files in the folder appear in DailyBuild and open in the app, but the originals stay in your own account and use none of your DailyBuild storage. Linked folders sync automatically on a schedule, when you open the project, and any time you tap Sync now. Synced cloud PDFs are indexed for Daily AI, so questions work the same whether a document was uploaded or synced.

What happens to markups on a cloud file?

Marking up a PDF that lives in your linked Drive or SharePoint folder saves back over the original as a new version, so your team sees the same file wherever they open it. If the cloud copy changed since you opened it, your markup is saved as a separate copy instead of overwriting anyone's work. Files removed from the cloud folder keep their listing with a Removed in cloud badge. Unlinking a folder only removes the DailyBuild listing; nothing is deleted from your cloud account.

Materials, pay items and resources

Materials, subcontractors, workers, equipment and cost codes live under Resources.

What is the difference between a pay item and a material?

A pay item is a contract line you bill against, tracked with a contract quantity. A material is something you consume without billing it as a line. Every item is classed as one or the other and reports can be filtered by type.

Can I import a contract?

Yes. Import a spreadsheet to load a whole contract at once. The import reads the item type from the file, so pay items and materials can come in together.

How are installed quantities recorded?

Through Material Entry in the field. Tag a cost code on the entry so quantities roll into production tracking.

What are cost codes used for?

Tagging hours, receipts and material quantities so costs roll up per activity, and setting production budgets.

Production tracking and project brief

Budget vs actual vs projected labor, and a daily read-out per project.

How does production tracking work?

Set budget hours, budget quantity and a unit on a cost code, then the project's Production panel shows budget, actual to date and projected at completion. Status lights: green on track (within 5% over), amber watch (5-15% over), red over budget (more than 15% over). Codes without budgets stay off the panel.

What is the project brief?

The project hub starts with today's report, a short Needs attention list, then every project tool grouped as Everyday, Field work, Changes and issues, People and information, Office tools and Project setup. The settings gear opens project actions and settings. It uses your records only and costs no AI credits.

Daily AI

DailyBuild's assistant. It answers from your project documents and records, drafts paperwork and turns a spoken update into report lines. Review its work before saving.

What can Daily AI answer?

Questions about the documents uploaded to a project - plans, specs, submittals, contracts - with the page it took the answer from, and questions about your job records such as daily reports, timesheets, tasks and punch items. For example 'what days did we lose to weather in March?' or 'what punch items are still open for the electrician?'

How do I give it documents?

Upload PDFs under Documents; indexing runs once per file and takes a moment on big drawing sets. You can also attach a document straight into the chat and it is indexed on the spot.

What tools does it include?

Toolbox talks, RFI drafts and document summaries run straight from the chat - just ask for them in plain English, no tool menu. A microphone in the chat box takes a spoken field update and sorts it into report lines, delays, materials and tomorrow's tasks. Change event detection and an AI narrative for owner updates are built in too.

Can it work off the drawings?

Yes. Ask it to pull up a sheet by number, title or discipline and it links you to the page. It reads schedules and tables off the plans, tells you which copy of a sheet is current when a job has more than one plan set, and gives a first pass quantity estimate when you ask how much of something is on the drawings.

How do measurements and takeoffs work?

Open a drawing under Documents and tap Measure. Set the scale once by tracing a printed dimension and typing its real length, then trace a run for linear feet, outline an area for square feet, or tap items to count them. Totals save to the project's Takeoff tab. Anything Daily AI estimated arrives there marked as an estimate until a person verifies it, and the whole list exports to CSV. Takeoffs carry quantities only - no pricing.

Can Daily AI change my data?

No. It can suggest a task, a delay or a line on the daily report, but a person has to approve each suggestion before anything is created.

Is my data private?

Yes. Daily AI only sees your own company's projects and documents, and it says when it cannot find something rather than guessing.

Should I review AI-generated content?

Yes. Check generated details against the source documents before saving a report or acting on an answer.

AI credits

AI work is metered in credits, included with every plan and toppable up.

What is a credit?

A unit of AI work, not a dollar. A question is 1 credit, an RFI draft is 2, a toolbox talk or a document summary is 3, an AI owner-update narrative is 2, and document indexing is 1 credit per 100 pages.

How many credits are included?

Each month: Starter 25, Team 75, Pro 150, Business 300. They reset with your billing period.

How do I get more credits?

Add a monthly bundle - AI Light is $25 for 200 credits, AI Pro is $50 for 500, and bundles can be stacked - or buy a one-off Credit Pack of 200 credits for $25, used after the monthly allowance. Admins get an email at 80% and 100% of the allowance.

Owner updates and change events

Share progress with the owner and catch out-of-scope work early.

What is an owner update?

A summary of a chosen period - last 7 days, 14 days, a month or a custom range - pulling reports, hours, quantities, tasks, punchlist and safety items into a plain-language update. Share it as a public link (with optional PIN and expiry), an email or a branded PDF. Links can be revoked instantly.

What are change events?

DailyBuild scans delays, weather and report notes to surface work that may fall outside the contract, clustering them into suggested events with a rough cost and labor-hour estimate. Nothing is sent anywhere automatically: you review, edit and confirm. Confirming generates a branded PDF backup package filed under Documents.

Team, roles and sharing

Roles set the defaults, per-person overrides handle the exceptions.

What roles are there?

Admin, Project Manager, Engineer, Superintendent, Inspector and Viewer. Admins see every project; everyone else must be added to a project's team.

Can I change what a role can do?

Yes. Admins edit the roles matrix under Profile then Users, and can also grant or remove a single permission for one person as an override.

How do I invite someone?

Profile then Users, invite by email. The invitation arrives by email with a link; you can resend it or copy the link if it doesn't arrive.

Can I share a project with another company?

Yes. An admin invites the other company by email at one of two levels. Field access lets them see the job, record daily entries, upload photos and post in chat. Co-manage lets them work the job like your own team, but never delete the project or change who it is shared with. 'Show costs' is a separate switch, and access can be changed or revoked at any time. Sharing is per project.

Who sees costs?

By default admins, project managers, engineers and superintendents. Inspectors and viewers never see rates, unit costs or receipt totals, and a guest company only sees costs if 'Show costs' was switched on.

Mobile, offline and the app

Built for a phone on a jobsite with poor signal.

Can I customize the bottom bar?

Yes. On a phone, open the top-right hamburger menu and tap the star beside up to four items. They appear around the fixed center + button and follow you to any device.

What happens offline?

Reports, hours, tasks, receipts and photos are saved on the device. A banner shows how many changes are waiting and they sync when you're back online, or you can tap Sync now.

How do I install it?

Download the native DailyBuild app from the Apple App Store on iPhone or iPad, or from Google Play on Android. Sign in with your existing account and your projects and preferences stay in sync. On desktop, use DailyBuild at app.dailybuild.co.

What is Field Mode?

A simplified layout for the jobsite, switched on under Profile then Interface (or set as a role default by an admin). Today leads with Time, Photo and Safety, with materials, tasks, punch list and delays under More actions.

Plans, pricing and trial

Pricing is tiered by how many active projects you run. Users are unlimited on every plan.

What does DailyBuild cost?

Starter is $29 a month for 1 active project, Team is $99 for up to 5, Pro is $199 for up to 15 and Business is $399 for up to 50. Annual billing is ten months for the price of twelve months of use ($290, $990, $1,990 and $3,990).

Which projects count towards my plan?

Active, on hold and complete projects count. Archived projects do not. If you outgrow your tier the app tells you and you move up from the Billing page.

How does the free trial work?

14 days free, no card to start. We ask for a card once you have seen it work - after your first daily report, on your second project, or on day 3. Adding it does not restart the trial and charges nothing that day. Cancel any time before the trial ends and you are not charged. Only admins can add the card.

What happens if the trial ends without a plan?

The app becomes read only. You can still see everything, but creating new records is blocked until billing is sorted.

How do I change or cancel my plan?

Profile then Billing: change the card, switch between monthly and yearly, change tier or manage the subscription.

Account, branding and security

Your details, how reports look and account safety.

How do I brand my reports?

Profile then Company: upload a logo, pick a brand color, choose a report template and add custom fields that appear on every daily report. The brand color is used on PDFs and optionally on the app header.

Light or dark mode?

Both, plus System. There is a quick toggle in the header and your choice follows you across devices.

I forgot my password.

Use 'Forgot password' on the sign-in screen and a reset link is emailed to you.

Can I delete my account?

Yes, under Profile then Security. Admins can also delete a whole company account.

Common questions and fixes

The issues support hears most.

Someone can't see a project or its chat.

Add them under that project's Project team panel. Project managers and engineers must be added like everyone else; only admins see every project automatically.

I can't do something my role should allow.

An admin may have changed the role in Profile then Users then Roles, or set a per-person override under that member's Permissions.

The invite email didn't arrive.

Check spam, then resend or copy the invite link from Profile then Users.

Weather looks wrong on a report.

Add or correct the project location, or type the conditions in manually.

A late edit isn't on the PDF.

Reopen the report and save. The filed PDF is rebuilt each time a completed or approved report is edited.

A photo is sideways.

Open it and use the rotate button. The saved rotation is used in the app and in exported PDFs.

Daily AI can't find something in a document.

Check the file is uploaded to that project and has finished indexing. Scans of scans can be hard to read, so try a clearer copy.

I've run out of AI credits.

An admin can add an AI bundle or a one-off credit pack from Profile then Billing.

I can't create anything new.

The trial may have ended. An admin can start a plan from Profile then Billing.

Step-by-step guides

The full walkthroughs from the in-app Help section, word for word.

The basics

How DailyBuild is laid out on phone and desktop.

  • Today is the field home screen: pick a project and date, start today's report or dictate an update, then use the Quick Actions below.
  • Quick Actions come in pairs: Time, Photos, Safety, Materials, Punchlist, Tasks, Expenses and Schedule. Tap the name to open the list, or tap the orange + on the right to add a new one. Safety's + opens a short menu: Toolbox talk, JHA, Inspection, Observation or Incident.
  • Needs attention sits under the Quick Actions (and on Calendar). On a phone, swipe an alert to hide it for today; on a tablet or computer, tap the eye icon. Hidden alerts come back tomorrow if they still need you, and Show hidden brings them back now. Nothing is deleted.
  • The menu order is Today, Projects, then three groups: Daily Work (Daily Report, Timesheets, Safety, Materials & Pay Items, Punchlist, Expenses), Planning (Calendar, Schedule, Tasks, Team Chat) and Resources (Project Summary, Payroll & Expenses, Team, Equipment, Cost Codes, Delays, Daily Reports). Documents, Daily AI and Dashboard follow.
  • An orange dot beside a menu item means a page is new to you. It clears once you open it.
  • Dashboard is the office view: reporting coverage, project health, what needs attention and recent activity. Choose This week, other ranges or Project to date - your choice stays in the link so you can share it.
  • Tap the pencil next to the DailyBuild logo at the top of the menu (on a phone, open the menu first). Switch between Hide pages (eye) and Bottom bar (star) to hide pages you do not use or pick up to four pages for the phone and tablet bottom bar, then tap Done. Reset puts the defaults back. Hiding only changes your own menu.
  • Your account, company settings, billing and Help all live behind your name and photo at the top of the menu.
  • The round “+” in the bottom bar adds a Daily Report, Timesheet, Photo, Task, Punch Item, Expense, Mileage, Material Entry or opens the Safety Hub from anywhere.
  • Live Support (the chat bubble, or the button at the top of this page) answers most questions instantly with AI, and our team steps in when it can't.
  • The bell shows what needs you plus a What's new note whenever we ship something. Due counts show as orange circles with white numbers.
  • Search a project from the project page to find reports, photos and notes in one place.
  • Appearance: Light, Dark or Sunlight Mode (extra contrast for bright sun) under Profile → Settings.
  • Everything you record is filed under a project, so reports and documents stay organised for you.

Notifications

One page for everything that needs you, sortable by date and category.

  • The bell in the header shows a quick list; tap View all notifications at the bottom to open the full Notifications page.
  • The page lists every open task, report awaiting approval, safety record awaiting review, expiring certification, punch item, new calendar entry, unread chat message, pending invite and billing alert - plus What's new announcements.
  • Tap a category chip to filter, and tap it again to come back to All. The round arrow at the end of the same row refreshes the list.
  • Tap the X on any item - in the bell or on the page - to remove it from your list. Delete all in the bell clears them at once. The task, punch item or report behind it is not touched.
  • Opening an item marks it read; finished work drops off the list on its own.
  • On desktop, click the Date or Category column header to sort. On a phone the same rows show as cards, newest first.
  • You only ever see the categories your role already sees in the bell.

Set up with AI

Two steps on your first sign-in: your company, then your first project.

  • Step one asks for your company website. DailyBuild reads the whole home page and fills in your company name, address, phone and email so you don't type them.
  • If the site doesn't have those details, or you'd rather not use it, type them in yourself - nothing is lost.
  • Step two takes your first project's documents. Drag and drop PDFs or photos of the contract, plans or the notice to proceed onto the box, or tap to pick files.
  • It reads them - including scans and photos, using vision when there's no text to read - and drafts the project: number, name, owner, engineer, address and dates.
  • Nothing is created until you look it over. Edit anything that's off and press create, and the documents you dropped in are filed with the project.
  • Either step can be skipped with “Skip for now”. Setup won't nag you again, and you can do the same work by hand from Profile → Company and the Projects page.
  • The setup checklist on the Dashboard picks up from there - and you can reset it any time from the bottom of this page.

Photos and previews

Pictures the right way up, everywhere they appear.

  • Photos are straightened as they upload - the camera's rotation flag is applied before the file is stored, so a picture taken sideways is filed upright.
  • Open any photo to view it full size. The viewer has a rotate button for the odd shot that still needs a nudge.
  • A rotation you save sticks to that photo: thumbnails, the list view and anyone else on the project see it the same way.
  • Saved rotations carry into exports too - daily report, safety and punchlist PDFs embed the corrected, upright picture.
  • PDFs show page one as their thumbnail, so plan sets and reports are easy to pick out.

Daily reports

Create, sign and complete the daily record - the PDF files itself.

  • Tap “+” → Daily Report, pick the project and date.
  • In a hurry? The Dashboard has an AI button beside the manual one - describe the day out loud or type a few lines and Daily AI turns it into a report. Review the details before saving.
  • Crew, equipment and materials can be filled in for you from that day's timesheets and recent activity. Every suggested line is yours to keep, edit or delete - and a line you delete stays deleted next time you open the report.
  • The completeness meter at the top shows what the report is still missing (weather, crew, work performed, photos, signature) so nothing is forgotten before you complete it.
  • Weather (conditions, high/low, wind, precipitation) fills in automatically from the project location; you can override it, and the °F / °C toggle is remembered per report.
  • The daily report sections open as a short list of one-line summaries. Work performed and Photos stay ready to use; open another section only when you need it. Weather fills automatically and stays collapsed once it has a result.
  • Use Add worker, Add subcontractor, Add equipment, Add delay or Add incident to open a compact entry form, then press its Add button to keep the row. Personnel keeps worker, hours and cost code together; notes are under More details. Subcontractors show every field, while equipment keeps status and work performed under More details.
  • Need a subcontractor that isn't in the list? Choose “+ Add new subcontractor” right inside the report - it's saved to your company list too.
  • Use “Import from timesheets” to pull that day's recorded hours straight into the crew section.
  • Custom fields you set up in Company settings appear on the report so you can capture whatever your contract requires.
  • Use Take Photo or Upload in the Photos section. Photos also land in the project's Photos folder automatically.
  • Sign on screen and press Complete. A branded PDF (your logo, company details and brand color) is generated and filed under Documents → Daily Reports.
  • Approving: whoever is set as an approver on the project can approve a completed report. Until it's approved it can still be corrected.
  • If a reviewer edits a report after it's been completed or approved, the PDF in Documents is rebuilt automatically so the filed copy always matches what's on screen.
  • Reopening a completed report records a revision and a reason, so the history of changes stays visible.

Timesheets

Enter a whole crew's day in one pass, then review the week.

  • Open Timesheets and pick the project and the day - you enter time day-first, one table for the whole crew. Tapping Time on Today opens the week; its + opens the day.
  • For each worker set start time, finish time and break; hours and overtime are calculated for you. You can still type hours directly. Pick a cost code per row so hours roll into cost reports.
  • “Set for everyone” copies its times to blank worker rows when you tap Apply, and “Copy previous day” rebuilds yesterday's entry in one tap.
  • On a phone, Save day stays at the bottom of the screen with the day total beside it.
  • Clock in / clock out: tap the Clock button for live tracking. Pick the worker and cost code, and clock them in. Everyone on the clock is listed with a Clock out button.
  • Managers can ask for a photo of the worker at clock in and clock out, plus the phone's location. Punches away from the jobsite are flagged for review - nobody is blocked from clocking in.
  • Switch to the Week view to see every worker, day by day, with weekly totals.

Payroll review

Check, approve and export hours. DailyBuild does not run payroll.

  • Open Resources → Payroll. Only people with payroll access see it.
  • Hours are split the same way everywhere: regular hours, overtime, and the total of both.
  • Review the week, then approve it. Approved time is locked so it can't drift; it has to be reopened to change.
  • Export a spreadsheet - detail, summary or cost code summary - for your payroll provider or accountant. Each export is kept as a permanent record.
  • Subcontractor labor stays separate from your own crew's hours.

Schedule

A simple lookahead chart for each job, with optional links between activities.

  • Open Planning → Schedule, or Schedule from a project's tools or the Today Quick Actions.
  • Choose a 1, 2, 3 or 6 week lookahead, or the Full Schedule. The chart view opens first; switch to cards with the icons beside My activities.
  • Bars are grey for not started, orange for in progress and green for completed. Milestones are diamonds, weekends and no-work days are shaded, and today is highlighted.
  • Tap Add activity (it stays at the bottom on a phone). Enter a start date and a duration in working days and the finish date fills in for you, skipping weekends and no-work days.
  • Starts after: link an activity to the one before it and it starts on the next working day after that one finishes. When the earlier activity moves, everything linked after it moves too, with an Undo.
  • Tap an activity in the chart to open a condensed editor with the status right at the top for a quick update, plus start, finish and duration. More details opens the full form.
  • Export the schedule as an Excel spreadsheet with the full detail, or as a landscape PDF Gantt chart of the schedule exactly as you have it filtered.
  • A red Conflict tag means an activity starts before the one it's linked to finishes.

Tasks and calendar

Assign work and see the whole month at a glance.

  • Tap “+” → Task. Set a project, priority and due date, and assign it to yourself or a teammate.
  • Open tasks are listed first, soonest due at the top. Finished tasks sit in a Completed section at the bottom - tap it to open.
  • On a phone, swipe a task or punch item to the right to mark it complete.
  • Tasks appear on the calendar on their due date.
  • Calendar colors: green = daily reports, blue = timesheets, red = tasks, purple = schedule items, orange = punchlist due dates. The selected day has an orange outline so the dots stay visible.
  • Choose a date and tap + Add to start a scheduled item, task, daily report, timesheet or material entry for that day.
  • Tap any existing item to open it. Needs attention, Tasks and Upcoming work are grouped below the calendar.

Team chat

One running conversation per project.

  • Daily Work → Team Chat, then pick the project at the top.
  • Messages are live - everyone with access to that project sees them as they're posted.
  • Chat is scoped to the project, so switching projects switches the conversation.
  • If someone can't see a thread, they haven't been given access to that project yet - add them from the project's Project team panel.

Expenses and mileage

Snap a receipt or log the miles you drove - both land on the job.

  • Open Expenses under Daily Work, or tap “+” → Expense or Mileage from anywhere.
  • For a receipt: take a photo or pick a file, then add vendor, date, amount and the project - attach a cost code, material or equipment if it applies.
  • For mileage: pick the project, enter the miles and the dollar value fills in from your company rate. Set that rate under Profile then Company.
  • Leave “Paid out of pocket” on when the money came from someone's own pocket. Managers open the entry and mark it reimbursed once the person has been paid back.
  • Filter by project, dates, category or unpaid only, then export the whole list to PDF, Excel or CSV. Receipt files also stay in the Receipts folder inside Documents.
  • Amounts are only visible to people whose permissions include viewing costs - by default admins, project managers, engineers and superintendents. People always see the value of their own mileage.

Plans & Specs and photos

Every project has the same set of folders.

  • Each project holds Daily Reports, Photos, Field Notes, Receipts, Plans & Specs, Punchlists, Change Orders, Safety and Other.
  • On a plan sheet, drop a pin for a photo, a punch item or a question, right where it belongs on the drawing.
  • Completed daily reports are saved here as PDFs automatically.
  • Every file opens in the same full-screen preview, whatever it is - photo, PDF or receipt - with zoom, rotate, share, download and edit controls at the top, and PDFs shown page by page.
  • Photos added to a report are copied into Photos, so nothing has to be uploaded twice.
  • PDFs show a preview of page one as their thumbnail, so you can spot the right file at a glance.
  • Punchlist and safety PDFs are filed here too, under the project's Documents folder.
  • Open a PDF to mark it up - arrows, notes and highlights - and save it back as a new version.
  • Drag files straight onto the page to upload - a drop zone covers the whole screen - or drop a whole folder and the structure comes with it.
  • Switch between thumbnail and detailed list view with the toggle above the files.
  • On a phone, list view gives the name and description most of the row while compact date and size details stay at the far right with the delete action.
  • The upload window keeps Take photo / file and Upload on one row. If no cloud folder is linked, the short connection note appears at the bottom of the page.
  • Field notes have their own spot: upload a scan or photo of the notebook page and tag it, so it files with the day's paperwork.
  • Select photos and field notes and export them as one ZIP for the owner or the claim file.
  • Photos are stored upright and any rotation you save is used everywhere, including in exported PDFs.
  • Plans and specs you upload here are what Daily AI reads, so the more you file, the better its answers.
  • Prefer your own storage? Connect Google Drive or SharePoint under Profile then Storage, then link a folder to a project from the documents page.
  • Linked folders sync on a schedule every few hours, when you open the project, and any time you tap Sync now.
  • Markups save back over the original cloud file as a new version. If the cloud copy changed since you opened it, your markup is saved as a separate copy instead of overwriting anyone's work.
  • Files removed from the cloud folder show a Removed in cloud badge so nothing disappears quietly, and cloud files show Needs connection when you are offline.
  • Synced cloud PDFs are indexed for Daily AI automatically, so questions work the same whether a document was uploaded or synced.

Where do my downloads go?

What happens when you download or export a file, on each device.

  • On the iPhone app, downloading a file opens the iPhone's share sheet. Choose Save to Files to pick exactly where it goes, or send it straight to Mail, Messages or another app.
  • If the share sheet does not appear, the file was too large or the connection dropped - try again on a stronger connection, or use Open to view it instead.
  • In a phone or tablet browser, the file either opens the share sheet or lands in the browser's Downloads - on iPhone that is the Downloads folder in the Files app.
  • On a computer, downloads go to your browser's usual Downloads folder, same as any other website.
  • Exports like report PDFs, photo ZIPs and Excel timesheets all behave the same way.
  • Signed report links from emails open in the browser, so those downloads follow the browser rules above.

Punchlist

Log what's left, attach a photo, then verify it closed.

  • Daily Work → Punchlist, or tap “+” → Punch Item. Pick the project first - punch items always belong to a job.
  • Start with the photo: take or pick one, then add the location/room, trade, description, who is responsible and a due date.
  • Set a priority and status - open, in progress, ready to verify, completed - and each item is numbered automatically per project.
  • Attach more photos as work progresses, including a closeout photo when the item is finished.
  • Comments keep the back and forth on the item itself, so nothing lives in a text thread.
  • Punch items show on the calendar in orange on their due date.
  • Anyone with punchlist access can complete an item; verifying and closing it out is a separate permission, so a supervisor signs off the work.
  • Export the punchlist as a branded PDF - filtered exactly the way you have the list filtered - and it files itself into the project's Documents.

Safety suite

Toolbox talks, inspections, incidents, pre-task plans, observations and certifications.

  • The Safety group in the menu holds everything; the Safety Hub is the overview - talks held, inspections passed, open incidents, days since a recordable, expiring cards and anything waiting on review.
  • Toolbox Talks: pick a topic from the library (or write your own), record the crew that attended, collect signatures on the device and add photos of the sign-in sheet.
  • Inspections: run a checklist template - pass / fail / N/A per line with notes and photos - and the app scores it, records the inspector's signature and tracks the next due date.
  • Incidents: report injuries, near misses and property damage with people involved, witnesses, injury type and body part, root cause, corrective action and photos. Mark OSHA recordable items and export the OSHA 300 style log.
  • JHA: a phone-friendly form with task steps, hazards and controls, PPE, crew signatures, photos and supervisor sign-off. Drafts save as you go, you can copy a previous JHA, and unsigned JHAs export as DRAFT PDFs.
  • Observations: quick safe / at-risk notes from anyone on site, with a photo and the action taken. They can be logged anonymously.
  • Certifications: each worker's cards with issue and expiry dates - expiring and expired ones are flagged for you.
  • Every safety form takes photos and an on-screen signature, and can be exported as a branded PDF that files itself into the project's Documents.
  • Review workflow: field entries are saved as a draft, submitted for review, then approved by someone with the safety approval permission. Only approved records count towards the Safety Hub metrics.
  • Coming due: the Hub lists expiring certifications, inspections due, toolbox talks overdue, open incidents and anything waiting on review.
  • Reminders are per project - open the notification settings on a project to choose which reminders you want and how often.
  • Every list exports to CSV or Excel with the same columns and filters you see on screen, including the review status and who approved it.

Projects and the project team

Set up a job, copy it, and decide who can see it.

  • Create a project with its number, contract, owner, engineer, full address and dates.
  • On a phone, Projects opens as compact rows with Active and Completed tabs. Use Filters for the less common choices. Desktop keeps the wider project table and view controls.
  • Open a project to see today's report and six everyday tools: Daily Reports, Photos, Documents, Timesheets, Tasks and Safety. Use All project tools for everything else.
  • The visible settings gear opens project actions. Project settings also appears under Project setup in All project tools, where managers can edit report emails, team access and sharing.
  • Takeoff and Change events open inside the normal app frame, so the project navigation and main menu remain available.
  • Starting a job like one you've already run? Use Duplicate on the projects list and tick what to bring across: contract items, subcontractors, workers, equipment, cost codes and the project team. The new project starts with no reports, hours or documents.
  • Admins can delete a project outright. It removes the job and everything filed under it, so it asks you to confirm first - archive instead if you only want it out of the way.
  • Use the Project team panel to give access to that job. Only admins automatically see every project - project managers and engineers must be added to the team like everyone else.
  • Tick “Can approve reports” for the people who sign off the daily record on that job.
  • The same panel controls who gets the daily report email: project managers, engineers and superintendents on the team are on by default, anyone else is off until they switch it on.
  • Report contacts: under project settings, managers add email addresses for people outside DailyBuild - owners, inspectors, clients. Each contact automatically receives a private link to the approved report PDF the moment it's approved. Links expire after 60 days, and delivery can be checked and resent. Drafts are never sent.
  • A project's status drives billing: active, on hold and complete projects count towards your plan, archived ones don't.

Sharing a project with another company

Bring an owner, GC or sub into one job without adding them to your team.

  • Open the project and use the Share panel - only admins can share a project.
  • Enter the other company's email address and pick the level of access.
  • Field access: they can see everything on the job, record daily entries, upload photos and documents and post in chat, but can't change the contract items list or the project details.
  • Co-manage: they work the job like your own team - contract items, adjustments, entries, documents, chat and project details. They still can't delete the project or change who it's shared with.
  • Show costs is a separate switch. Leave it off and the guest company sees the work but no rates, unit costs or totals.
  • If they don't have a DailyBuild account yet, the invite waits for them - when they sign up with that email their new company is linked to the project automatically.
  • Change the level or the cost switch at any time, or revoke access to remove the other company from the job.
  • Sharing is per project. A guest company only ever sees the jobs you've shared, never the rest of your work.

Resources

Materials, subcontractors, workers, equipment and cost codes.

  • Contract Items is the master list: each item is a pay item (a contract line you bill against) or a material (something delivered and installed). Use Edit items, Add item or Post quantities at the top. Open any item to edit its units and contract quantity.
  • Materials and Pay Items in Daily Work open the same daily entry screen - the switch at the top flips between them, and one Save keeps both.
  • Select several materials or pay items to edit or delete them together. Imports can be undone.
  • Import a spreadsheet to load a whole contract at once. The import reads the item type from the file - an “Item type” column, or a category that says pay item - so pay items and materials can come in together.
  • On a project, tap Reorder to move items up and down into the order your contract lists them. The order is used everywhere the items appear, including the report PDF.
  • Admins can delete an item from its detail page when it was added by mistake.
  • Subcontractors: the company-wide list you assign to projects - you can also add one on the fly from inside a daily report.
  • Workers & crews: names, trades, pay rates and the projects each worker is assigned to; used on reports and timesheets.
  • Equipment: company-owned, rented or subcontractor machines with hourly / daily rates, plus availability so you can see what's already committed. Search by name or number to find a unit fast.
  • Cost codes: import a list or add them by hand, then assign them to projects.
  • Safety checklists and toolbox talk topics are company-wide too - anyone with the safety templates permission can add or edit them.

Reports and exports

Get the paperwork out of the app.

  • Daily report PDFs carry your company logo, details and brand color.
  • Export labor summaries and cost-code totals to Excel.
  • Export the weekly timesheet grid for payroll.
  • Filter by project and date range before exporting.
  • Filter material reporting by pay item or material so contract lines and consumables never get mixed together.
  • Project Summary gives you sortable tables per tab, plus a weekly labor view for payroll review.
  • Cost reports are only open to people whose permissions include viewing costs - by default admins, project managers, engineers and superintendents.

Your team, roles and permissions

Invite people, pick a role, then fine-tune what they can do.

  • Team → App users → Invite: enter one or more email addresses and pick a role.
  • On a computer or tablet, App users show as a compact table - one line per person with role, projects and status. The icons beside Filter switch between table and cards, and phones keep the card view.
  • Invitations arrive by email; you can resend one or copy the link and send it yourself.
  • Admin: runs the company - users, permissions, billing, company settings, sharing and every project.
  • Project manager: manages their assigned projects end to end, approves reports, keeps the contract items and cost codes, manages workers, subcontractors and equipment, and sees costs.
  • Engineer: the same project and report work as a project manager, including approvals and contract items, but doesn't manage the company workforce lists.
  • Superintendent: records reports and hours on their assigned projects and sees costs.
  • Inspector: records reports and hours, with no dollar figures anywhere.
  • Viewer: read only.
  • Safety and punchlist have their own permissions: logging talks, inspections, JHAs and observations, reporting incidents, classifying and closing incidents, approving safety records, managing checklists and topics, managing certifications, adding punch items and verifying them.
  • Roles are only the starting point. Team → App users → Roles opens the matrix where an admin can turn a permission on or off for a whole role.
  • Need an exception for one person? Open the member's menu and choose Permissions to grant or remove a single permission just for them - it overrides the role default.
  • A few admin permissions (users, permissions, billing, company) are locked on for admins so a company can never lock itself out.
  • Change someone's role at any time, or remove them from the team. An organization must always keep at least one admin.

How do I add someone to a project?

Give a teammate access to specific jobs.

  • Open Resources > Team. App users are listed first.
  • Anyone marked Not on any project can't see any job yet. Tap Needs a project to show only them.
  • Tap Assign projects on the person, tick the jobs they work on and tap Save.
  • When inviting someone, you can tick projects in the invite form so they are added the moment they join.
  • Admins, and anyone marked Sees all projects, already see every job.

Branding and how your reports look

Logo, brand color, report template and custom fields.

  • Profile → Company: upload your logo and pick your brand color.
  • The brand color is used on report PDFs, and optionally on the app header - toggle “Use brand color in app header” on or off. Text automatically switches between black and white so it stays readable.
  • Choose a report template to change the layout and density of the daily report PDF.
  • Add custom fields so every daily report captures the extra details your contract or owner asks for.
  • Weather icons on the PDF keep their natural colors regardless of your brand color, so a sunny day still reads as sunny.

Daily AI - your pocket project manager

Ask questions about your plans, specs and job records in plain English.

  • Open Daily AI from the menu, or tap “+” → Daily AI, and pick the project you want to ask about.
  • It reads the documents you have uploaded for that project - plans, specs, submittals, contracts - and answers with the page it took the answer from, so you can check it.
  • Upload a PDF under Documents first; indexing runs once per file and takes a moment on big drawing sets.
  • You can also attach a document straight into the chat - it's indexed on the spot and answered from, without leaving the conversation.
  • It also knows your job records: daily reports, timesheets, tasks and punch items. Ask things like “what days did we lose to weather in March?” or “what punch items are still open for the electrician?”
  • No tool menu to learn: just say what you want. “Write a toolbox talk on ladder safety”, “draft an RFI about the slab edge detail” or “summarize the geotech report” run the right job automatically, and a one-tap link lets you answer it as a plain question instead.
  • Ask it to pull up a drawing - “show me the grading plan” or “open C-101” - and it finds the sheet by number, title or discipline and links you straight to the page.
  • It reads schedules and tables off the drawings (doors, pipe, finishes, pay items) and can tell you which copy of a sheet is the current one when a job has more than one plan set.
  • Ask “how many linear feet of curb are on the plans?” and it gives a first pass estimate with the sheet it came from. Estimates are always labelled as estimates until a person verifies them.
  • To verify: open the drawing under Documents, tap Measure, set the scale by tracing a printed dimension, then trace the run or outline. Length, area and count totals save to the project Takeoff tab as verified quantities, and can be exported to CSV.
  • Tap the microphone next to Send to talk out a field update - it's the same voice update as before, now living inside Daily AI instead of a separate button.
  • Daily AI can also suggest work - a task, a delay, a note on the daily report - but it never creates anything on its own. You approve each suggestion first.
  • Every conversation is saved per project, so you can pick a thread back up later or share what it found with the team.
  • Answers come from your documents. If it doesn't find something it says so rather than guessing - and it never sees another company's data.
  • Review AI-generated details and source documents before acting on them or saving a report.

Field Mode and the Today screen

A simplified layout for the jobsite: crew hours, photos, tasks and voice updates.

  • Turn Field Mode on under Profile → Interface, or an admin can set it as the default for a role on the Users page.
  • Today puts Speak your daily update first, with the manual report button underneath. Quick Actions come next - tap a name to open the list or the + to add one.
  • Photo opens the upload window straight away, already pointed at your current project.
  • Voice updates are transcribed and sorted into report lines, delays, materials and tomorrow's tasks - each item comes back as a suggestion with a tick, so you keep what's right and drop the rest before anything is saved.
  • No signal? Speak it anyway - the update is held on the device and processed when you're back online.
  • DailyBuild remembers your last project, so most days it's one tap to get going.
  • Switch back to the full interface anytime from Profile → Interface.

Change events

Catch out-of-scope work early and keep the backup to prove it.

  • Open a project → Change events. DailyBuild scans delays, weather and report notes to surface work that may fall outside the contract.
  • Run Scan project to cluster recent delay records into suggested events with a rough cost and labor-hour estimate.
  • Suggestions are never sent to anyone automatically - review, edit the description and Confirm the ones worth pursuing, or Dismiss the rest.
  • Confirming generates a branded PDF backup package with the supporting records, filed automatically under Documents → Change Events.

Owner updates

Share a professional project update without touching a spreadsheet.

  • Open a project → Owner updates. Pick a period (last 7 days, 14 days, month or a custom range).
  • DailyBuild pulls the period's reports, hours, quantities, tasks, punchlist and safety items into a plain-language summary for the owner.
  • Turn on AI narrative to have the update reworded in plain language - it is clearly marked as AI-assisted in the update (2 credits).
  • Share it three ways: a public link (optional PIN and expiry), an emailed update, or a branded PDF download.
  • Revoke a link anytime; it stops working immediately.

Production tracking

Budget vs actual vs projected labor per cost code.

  • Set budgets first: Resources → Cost codes → edit a code → Production budget - enter budget hours, budget quantity and a unit (LF, CY, tons...).
  • Open a project and scroll to the Production panel. Each budgeted code shows budget, actual to date and projected at completion.
  • Hours come from timesheets; installed quantities come from Material Entry - use the Cost code picker on the entry sheet so quantities roll up.
  • Status lights: green on track (within 5% over), amber watch (5-15% over), red over budget (more than 15% over).
  • Codes without budgets stay off the panel, so you only track what matters.

Project brief

A short daily read-out at the top of every project.

  • Open any project. The brief sits at the top with Today, Needs attention and Yesterday.
  • Today shows assigned employees, scheduled calendar items, tasks due, the day's weather and whether a toolbox talk was recorded.
  • Needs attention flags overdue tasks and punchlist items, three days of delays in a row, and a missing or draft report for yesterday.
  • Yesterday rolls up labor hours, photos, completed tasks and delays so you can see the last day at a glance.
  • The numbers come straight from your records - no AI credits are used.

AI credits

What AI work costs and how to top up.

  • Speaking or typing a daily field update is free. Other AI work uses credits: a question is 1, an RFI draft is 2, a toolbox talk or document summary is 3, and indexing costs 1 per 100 pages.
  • Every plan includes credits each month: Starter 25, Team 75, Pro 150, Business 300. They reset with your billing period.
  • Need more? Add AI Light ($25/month for 200 credits) or AI Pro ($50/month for 500). You can stack more than one bundle.
  • Running short mid month: buy a Credit Pack - 200 credits for $25, one time, used after your monthly allowance.
  • Admins get an email at 80% and again at 100% of the monthly allowance, so nobody is surprised.
  • Profile → Billing → DailyBuild AI shows what's been used, what's left and who has been asking.

Billing and your plan

The 14-day trial and how pricing works.

  • No card to sign up. Your 14-day free trial starts the moment you create your company, so you can set up a project and file a report straight away.
  • Plans are tiered by how many projects you run: $29 for 1 project, $99 for up to 5, and larger tiers above that. Active, on hold and complete projects count; archived ones don't.
  • We ask for a card once you have seen the app work - after your first daily report, on your second project, or on day 3. Adding it does not restart the trial and charges nothing that day; you keep the days you have left.
  • If you outgrow your tier the app tells you, and you move up from the Billing page in a couple of taps.
  • Cancel any time before the trial ends and you are not charged.
  • Only admins can add the card.
  • If the trial ends without an active plan the app becomes read only - you can still see everything, but creating new records is blocked until billing is sorted.
  • Profile → Billing: change your card, switch between monthly and yearly, or manage the subscription.

Profile, appearance and security

Your details, the app's look and account safety.

  • Tap your name at the top of the screen to open the Profile hub - your profile, company, users, billing, settings and Help all live there.
  • Appearance: choose Light, Dark or System in Profile → Settings. Your choice follows you across devices.
  • Company: name, address, contact details, logo and brand color used on report PDFs.
  • Security: change your email or password, and delete your account if you need to.
  • Forgot your password? Use “Forgot password” on the sign-in screen and you'll get a reset link by email.
  • Signing up: creating an account accepts our terms and privacy policy, both linked on the sign-up screen.
  • Notifications: choose what you're emailed about, including whether you want product news and tips. You can change your mind here at any time.

Integrations

Connect QuickBooks and your cloud storage.

  • Profile → Integrations is where every connection lives, each service shown with its official icon.
  • QuickBooks: an admin connects the company's QuickBooks Online account and reviews the mappings - which projects, workers and cost codes match. Approved timesheets, receipts and mileage then sync to QuickBooks; synced items show their status and can be retried. DailyBuild does not run payroll.
  • Google Drive and SharePoint: link cloud folders per project so files sync into Documents. Sync runs every few hours, when you open the project, and any time you tap Sync now.

Get the DailyBuild mobile app

Download the native app for iPhone, iPad or Android.

  • iPhone or iPad: download DailyBuild from the Apple App Store.
  • Android: download DailyBuild from Google Play.
  • Sign in with your existing DailyBuild account. Your projects, pinned bottom-bar items, theme and profile stay in sync.
  • You can still use DailyBuild in a desktop browser at app.dailybuild.co.
  • Links in our emails open the linked page right in the app when it's installed on your phone or tablet. On a computer, or without the app, the same link opens in the browser and signs you in as usual.

Mobile and offline

Keep working when site signal drops.

  • If you lose signal, reports, hours, tasks and receipts are saved on the device.
  • A banner shows how many changes are waiting; they sync as soon as you're back online, or tap “Sync now”.
  • Photos taken offline upload when the connection returns - keep the app installed so nothing is lost.
  • For the best offline experience, use the native DailyBuild app from the Apple App Store or Google Play.

Troubleshooting

The questions we hear most.

  • Invite email didn't arrive: check spam, then resend or copy the invite link from Team → App users.
  • Someone can't see a project or its chat: add them under the project's Project team panel - project managers and engineers need to be added too.
  • I can't do something my role should allow: an admin may have changed the role in Team → App users → Roles, or set an override just for you under that member's Permissions.
  • No dollar amounts visible: inspectors and viewers never see rates, unit costs or receipt totals, and a shared company only sees costs if “Show costs” was switched on for them.
  • An outside company can't see the job: check the Share panel on that project - the invite may still be pending until they sign up with the invited email address.
  • Can't create anything new: your trial may have ended - an admin can restart the plan from Profile → Billing.
  • Can't edit a report: completed and approved reports are locked - an approver can reopen it with a reason.
  • A late edit isn't on the PDF: reopen the report and save - the filed PDF is rebuilt each time an approved or completed report is edited.
  • A report row is missing: open its section and press the Add button after entering it. Also check that you are on the right date and project.
  • Weather looks wrong: add or correct the project location, or type the conditions in manually.
  • Header text hard to read: pick a slightly darker or lighter brand color, or turn off “Use brand color in app header” in Company settings.
  • Week totals look short: check start, finish and break times on each day - the week view only totals what's been entered.
  • Expenses and mileage are under Daily Work; receipt files also sit in the Receipts folder inside Documents.
  • The bottom bar on my phone is missing something: open the top-right menu and star it. You can pin up to four items around the fixed center + button.
  • A safety record isn't counted on the Safety Hub: only approved records count - submit it, then have an approver approve it.
  • I can't approve a safety record: you need the “Approve safety records” permission - an admin can grant it under Team → App users.
  • Not getting safety reminders: check the notification settings on that project - reminders are per project and can be switched off by type.
  • A punch item won't close: completing and verifying are separate - someone with the verify permission has to sign it off.
  • Punch item missing from the calendar: it only shows on the day it's due, so give it a due date.
  • Setup asked for my website but found nothing: some sites keep contact details off the home page - type the company details in yourself under Profile → Company.
  • Daily AI can't find something in a document: check the file is uploaded under that project and has finished indexing; scans of scans can be hard to read, so try a clearer copy.
  • Deleted crew or equipment rows came back: they shouldn't any more - the report records that auto-fill has run, so deletions stick. If it happens, tell us in chat.
  • A photo is sideways: open it and use the rotate button - the saved rotation is used in the app and in exported PDFs.
  • Out of AI credits: an admin can add an AI bundle or a one-off credit pack from Profile → Billing.
  • An outside contact isn't getting reports: check they're in the project's report contacts and that the reports were approved - drafts are never sent. Delivery status shows what was sent, and an admin can resend.
  • A link in an email opened in my browser: that's expected on a computer, or when the app isn't installed on the phone. Install the app and the same link opens in the app.

Finding records as a viewer

Where to read reports and documents.

  • Calendar shows every day that has a report, hours or a task on your projects.
  • Daily Reports lists completed reports you can open and read.
  • Documents holds the PDFs, photos and receipts for each project.

Platform console

Owner-only view across every company on DailyBuild.

  • Platform in the top of the menu opens the console - it's only visible to the platform owner.
  • See every organization, its users, project counts and subscription state.
  • Use it for support and oversight; day-to-day work still happens inside each company's own account.

Glossary

Credit
A unit of AI work. Daily field updates are free. A question costs 1, an RFI draft 2, a toolbox talk or summary 3, and document indexing 1 per 100 pages.
AI add-on
A monthly bundle of extra AI credits - AI Light (200) or AI Pro (500) - on top of what your plan includes.
Punch item
One outstanding piece of work on a project, with a photo, location, trade, responsible party and due date, closed out by completing then verifying it.
JHA
Job hazard analysis, also called a pre-task plan: the tasks for the day, the hazards in each and the controls the crew will use.
Shared project
A project another company has been given access to, either field access or co-manage, with cost visibility controlled separately.
Daily report
The signed record of one day on one project: weather, crew, equipment, work performed, delays, incidents and photos.
Cost code
A code you tag hours, receipts and materials with so costs can be rolled up per activity.
Crew
A named group of workers, usually under a foreman, used to speed up crew entry.
Pay item
A contract line you bill against, tracked with a contract quantity. A material, by contrast, is something you consume without billing it as a line.
Contract quantity
The quantity of a material in the contract, adjusted by approved changes, used to track what's left.
Active project
A project counted towards your plan. Active, on hold and complete all count; archived projects do not.
Brand color
Your company color, used on report PDFs and optionally as the app header background.
Report template
The layout used for the daily report PDF, chosen in Company settings along with any custom fields.
Draft
A report that is saved but not yet signed and completed - still fully editable.
Permission override
A single permission an admin has turned on or off for one person, overriding what their role would normally allow.
Field access
The lighter of the two sharing levels: an outside company can see the job and record daily work, but can't change contract items or project details.
Co-manage
The fuller sharing level: an outside company works the job like your own team, but can't delete the project or change who it's shared with.
Toolbox talk
A short safety briefing held with the crew, recorded with the topic, attendance and signatures.
JHA / pre-task plan
A job hazard analysis: the steps of a task with the hazards and controls for each, the PPE required, and the crew's signatures before work starts.
OSHA recordable
An incident that has to appear on the OSHA log. Mark it on the incident and it's included in the exported log.
Safety review status
Draft, awaiting review or approved. Only approved safety records count towards the Safety Hub metrics.
Daily AI
DailyBuild's assistant. It answers from your project documents and records, drafts RFIs and toolbox talks, and turns a spoken update into report lines. Review its work before saving.
Auto-fill
Crew, equipment and material lines suggested on a daily report from that day's timesheets and recent activity. Suggestions are yours to keep, edit or delete, and deletions stick.
Completeness meter
The bar at the top of a daily report showing what's still missing - weather, crew, work performed, photos or a signature - before you complete it.
AI setup
The optional two-step first run: your website fills in company details, and your first project's documents draft the project for you. Both steps can be skipped.
Duplicate a project
Starting a new job from an existing one, copying the pieces you tick - contract items, subcontractors, workers, equipment, cost codes and team - with no reports or hours carried over.
Report contact
A person outside the company - an owner, inspector or client - added to a project by email who automatically receives a private link to each approved daily report PDF, without needing a DailyBuild account.
